HTML Writers Guild Election Information[Supporting Documentation]--[Nomination Committee Members]--[Confirming Eligibility] [Nomination Committee Contacting of Nominees]--[Candidate Information for Web Page] [Information About the Governing Board]--[Election Process] EligibilityTo be eligible for election to the GB, a member must be at least a one-year member of HWG in good standing. The Nomination Committee will verify nominees' membership length after the close of nominations. Also, candidates must be at least 18 years of age as of the date of the election. Proof of age may be required. To make a nomination, simply send a short e-mail with a subject line of "nomination" to hwg-nominations(at)hwg.org indicating the name of the person(s) being nominated and the e-mail address of that individual. Self-nominations are encouraged, as are nominations of other HTML Writers Guild members. To submit a proxy, you must be a Plus member. To run as a candidate, you only need have been a member (at any level) for one year, be in good standing, and be 18 years of age at the time of the election. (Please note: All indications are that qualifications for candidates will be revised after this election is completed. It is expected that non-dues-paying members will then become ineligible to run for election to the Governing Board.) Supporting DocumentationPer the HTML Writers Guild Bylaws, Section 4.1 Annual Meeting: "A meeting of the members of the Corporation shall be held annually for the purpose of electing directors to succeed those whose terms shall have expired. The annual meeting shall be held in such fashion (including via electronic means), at such time and place, and on such date as the directors shall from time to time determine and as shall be specified in the notice of the meeting." Per the HTML Writers Guild Bylaws, Section 5.5 Eligibility: "Any member who is in good standing with the Corporation and who has been a member of the Corporation for at least one year is eligible to serve on the Board of Directors." Confirming EligibilityFor purposes of this election, a candidate's eligibility is confirmed by the Nomination Committee by sending a list of nominees to the system administrator for verification of the requirements as stated in the Guild's bylaws, Section 5.5.
It is the Nomination Committee's understanding that the Guild's system administrator will verify these two items for each member first using the Guild's current database. If the database does not support a candidate's claim of eligibility, the Guild's system administrator will attempt to verify eligibility using archived database information and mail list archives. If the system administrator is unable to verify eligibility, and has exhausted all avenues just mentioned, the candidate will be requested to provide proof of eligibility. Contacting NomineesThe Nomination Committee will first contact the individual(s) being nominated to ensure that each person is willing to serve as a member of the HTML Writers Guild Governing Board if elected. They will then confirm the candidate's eligibility and, if the candidate is eligible, inform him or her of the deadline for submission of information to include on the HTML Writers Guild candidate Web page. Candidate Information for Web PageA Web page is being developed to assist all members with the voting process and to provide information about candidates. The membership will be informed when this page has been uploaded. After the Nomination Committee confirms that an individual desires to run as a candidate for a position on the Governing Board, that person will be requested to submit the following information for inclusion on the election candidate Web page:
The total character count for the above information is not to exceed 4096 characters for the vision statement and 4096 characters for the qualifications section. Anything over 4096 characters will be truncated automatically (not edited), so nominees are expected to be responsible for the length of their submissions. Submitted material is to be in plain text format and will be formatted by the Nomination Committee with HTML tags, in accordance with the design specifications for the HWG Web site. Note: Failure to submit materials will not disqualify a candidate, but the Guild's Web site will note that the candidate did not submit requested materials by the deadline. No candidate materials will be posted if received after the deadline. The candidate Web pages will be considered as being static for the election process. Exception will be made for e-mail and address corrections. No other revisions are permitted. Information About the Governing BoardBeing on the Governing Board can, at times, be very time-consuming. It can also be very rewarding. The Guild is quite young, so the people on the GB, along with all the other volunteers, are helping to mold the Guild into an organization that provides quality services for the membership. The Bylaws are essential reading for anyone considering running for a GB position. The Guild's GB Web page has information on the GB Purpose, a list of GB members, a list of officers, and the responsibilities of the GB management areas. A trip through the entire Guild site will also provide valuable information about the Guild and what the GB and volunteers have accomplished and what requires additional effort. The Guild's "management involvement" mailing list (hwg-ops) is for members who want to be involved in Guild activities. Candidates who have never subscribed to -ops are encouraged to do so. This will be an eye-opener for many candidates. Feel free to contact any of the current GB members with questions you might have about the Guild and about the GB. Although we cannot speak for past GB members, we're sure that many of them will take the time to answer any e-mail containing questions about the Guild. Election ProcessThe process for the upcoming election is being developed. We will post the procedures here as soon as the development process is completed.
